Daily field reports: what a useful digital report captures

A daily report that is quick to fill in on site and searchable in the office is the first piece of construction software most contractors should build or buy. Here is what belongs in it.

The daily report is the one document that every project produces and almost nobody reads until something goes wrong. Then everybody reads it. Paper and photo-messaging versions are quick to produce and nearly impossible to search, which is why a digital daily report is usually the right first project for a contractor moving off paper.

The fields that matter

  • Weather and site conditions, pulled automatically where possible, with a free-text note for anything that stopped work.
  • Labour on site: crew, trade, headcount and hours, by subcontractor.
  • Equipment on site and whether it was used, idle or down.
  • Work performed by area and activity, in the project's own breakdown so it can be rolled up.
  • Deliveries and materials received, with the ticket photographed.
  • Delays, incidents and visitors, each with time, who was involved and photographs.
  • Photographs tagged with location and time, because a photo without either is a weak record.

Designed for a phone, outdoors

A report that takes twenty minutes on a laptop will not be filled in on site. Large tap targets, dropdowns populated from the project setup, camera access, and the ability to save offline and sync later are the difference between a report that is completed at four o'clock and one that is reconstructed from memory the next morning. Pre-filling yesterday's crew and equipment lists halves the time.

Why structure beats free text

The value of daily reports appears months later, in a delay claim, a safety review or a dispute over a change order. Free-text reports have to be read one by one. Structured reports can be filtered: every day rain stopped work on building B, every day a particular subcontractor was on site, every delivery of a given material. That query is worth the small discipline of filling in fields rather than typing a paragraph.

A sensible first phase

One report form, one project, offline-capable, with photographs and a PDF export the client will accept, and a simple search in the office. Integration with scheduling or accounting can come after the field team has used the form for a month and told you what is missing.
